Claiming travel expenses

The following steps have to be taken if you wish to attend a conference/workshop:
1. An email should be send to the IMPRS coordinator stating
  • your reason for attending the conference/workshop
  • informing whether you will present your PhD data
  • that you have spoken with your supervisor and that he/she agreed to it
  • an approximation of expenses (registration fee, travel expenses, accommodation)

2. Once you get a YES from the IMPRS you can book and attend the conference/workshop.
3. Fill in the application form for a business trip and get it signed by your supervisor and the IMPRS coordinator. This form needs to be filled out at least 3 days before a business trip within Germany and 2 weeks before a business trip abroad.
4. The default mode is that you will finance all travel expenses in advance. Travel expenses will be reimbursed by the IMPRS on your return.
However, should the expenses be to high to be financed in advance please see Ms Reck (9940-2257, room A 009) for an alternative solution. Please bring with you the completed advanced payment form as well as the completed and signed application form for a business trip (see point 3).
5. Reimbursement of travel expenses will be actioned once a completed the travel expenses reimbursement form for MS-Word or OpenOffice has been submitted to the IMPRS coordinator. Ensure that you have attached:
  • your abstract (if applicable)
  • schedule showing the time slot of your talk/poster session or confirmation letter of your acceptance by the conference/workshop organisation
  • all travel tickets (e.g. train, tram, bus etc.) and airplane boarding passes attached to a sheet of A4 paper
Please note that you have to bring in your documents (the signed "Dienstreiseantrag", original tickets and receipts) by 6 months after travelling at the latest, otherwise the costs can`t be payed back.



Credit Points

The IMPRS NeuroCom applies the credit-point system practiced and supported by all participating faculties and other graduate Training Programs at the University of Leipzig. Graduate students with a Master degree or an equivalent degree have to complete a minimum of 10 unmarked credit points during their PhD Program to be able to submit their thesis and apply for the doctoral degree examination. The examination includes a presentation of the PhD project and an oral examination (Rigorosum).
Those students with a minimum of 20 credit points (10 unmarked and 10 marked) are eligible to apply to omit the oral examination. This rule applies only to PhD students belonging to the IMPRS NeuroCom or to another graduate Training Program of the University of Leipzig. The marked credit points must compose of a minimum of 5 individual study performances. Only the examination commission has the right to decide whether the student can omit the oral examination. Calculation of the final mark will be as the mean average of the individual study performances. If 20 credit points are being completed 10 must be subject-specific and 10 can, but do not have to be, subject-specific.


All Achievements must be validated by submitting a certificate or equivalent to the University of Leipzig!
